Terms of Service

These terms govern your use of LumenWeave. By creating an account you agree to them. If you are using LumenWeave on behalf of an organisation, you confirm that you are authorised to bind that organisation to these terms.
1. The service
LumenWeave is a cloud-based platform for collecting, verifying, and managing compliance documents, and for checking building designs against regulatory requirements. Customers (typically construction contractors, architects, or professional services firms) set up chase flows that send reminders to their subcontractors or clients, receive documents through a web portal, surface expiry dates and compliance reports, and run compliance pre-checks on building designs before formal submission. LumenWeave is operated by LumenWeave Ltd, registered in England and Wales.
2. Accounts
You may create one account per organisation. You are responsible for the accuracy of the information you provide, for maintaining the confidentiality of your credentials, and for all activity that happens under your account. You are responsible for the actions of users you invite into your organisation.
To enforce the one-account-per-organisation policy, LumenWeave may verify your organisation's identity using your business email domain, company name, and (where provided) business registration number. If we detect that your organisation already has an account, we will prompt you to join the existing organisation rather than create a duplicate.
Creating multiple accounts to circumvent usage limits, trial periods, free entitlements, or add-on restrictions is a breach of these terms and may result in immediate termination of all associated accounts without notice.
3. Subscription plans
LumenWeave offers a 30-day free trial with full feature access, a monthly Pro subscription, and an annual Pro subscription. Current plan details and pricing are published at lumenweave.ai/#pricing and form part of these terms.
4. Add-on services
LumenWeave offers add-on services that are billed separately from your subscription plan. Current add-on services include:
- Compliance pre-check: a per-project building design compliance check against jurisdiction-specific building regulations. Priced per check in local currency. Pro plan subscribers receive their first compliance check at no additional cost. Subsequent checks are billed at the published rate.
Add-on entitlements are tracked at the organisation level, not the individual user level. Free entitlements (such as the first compliance check on the Pro plan) are granted once per organisation and are not reset by adding new users, changing plan, or creating additional accounts.
5. Payment terms
Paid plans are billed monthly or annually in advance via Stripe. Prices are quoted in GBP. VAT will be added where applicable. Payment failures may result in temporary suspension of paid features; essential read-only access is retained for 7 days to give you time to update payment details.
6. Cancellation
You can cancel your Pro subscription at any time from your account settings. Monthly subscriptions end at the current billing period. Annual subscriptions are non-refundable but access continues until the end of the annual period. After cancellation, your data is retained for 30 days. Deleting your account removes your data per the retention rules in our Privacy Policy.
7. Data ownership
You own all data you and your users upload to LumenWeave, including documents provided by your subcontractors through flow portals. LumenWeave processes your data as a data processor on your behalf. We do not use your customer or subcontractor data to train models or for marketing. Our processing obligations are set out in our Data Processing Agreement.
8. Document handling
Documents uploaded by your subcontractors through flows are stored encrypted at rest and in transit. Access is scoped to the organisation that created the flow. Row-level security in our database and signed URLs on stored objects prevent cross-tenant access. You can export or delete any document at any time.
9. Use of artificial intelligence
The Service uses artificial intelligence to analyse documents, generate communications, and provide compliance assessments. AI analysis is provided on an “as is” basis. While we strive for accuracy, AI-generated analysis may contain errors. You acknowledge that:
- AI document analysis is advisory and does not constitute professional legal, insurance, or compliance advice.
- You are responsible for verifying the accuracy of AI-generated analysis before relying on it for compliance decisions.
- LumenWeave is not liable for decisions made based solely on AI analysis without independent verification.
- AI-generated communications sent to your subcontractors are sent on your behalf and you are responsible for their content.
AI-assisted document analysis is not a substitute for professional review and is not legally binding. Flagged issues are guidance, not verdicts. When in doubt, review the document yourself or seek professional advice.
10. Compliance pre-check disclaimer
The compliance pre-check service evaluates structured building design data you provide against published building regulations for a selected jurisdiction. The service outputs risk indicators (such as low risk, moderate risk, high risk, or critical) based on comparison of your input data against regulatory thresholds.
You acknowledge that:
- Compliance pre-check results are advisory risk indicators, not professional certifications, regulatory approvals, or guarantees of submission outcome.
- The service does not replace the judgement of a qualified architect, structural engineer, fire consultant, building surveyor, or licensed submission agent.
- Building regulations are subject to local authority interpretation, amendment, and discretion. A “low risk” result does not guarantee the outcome of any formal regulatory review.
- The accuracy of the compliance check depends on the accuracy of the data you provide. LumenWeave is not liable for incorrect results caused by inaccurate, incomplete, or outdated input data.
- LumenWeave is not liable for any costs, delays, redesign fees, failed submissions, or other losses arising from reliance on compliance pre-check results without independent professional verification.
- Regulation rule sets are updated periodically but may not reflect the most recent amendments at all times. The regulation version used is displayed on each compliance report.
The compliance pre-check is a design risk tool, not a regulatory submission or approval service. Always verify results with a qualified professional before making design decisions or submitting to a regulatory authority.
11.1 UK-specific notice
Compliance pre-check results relating to the Building Safety Act 2022, Approved Documents, or building control approval are not intended to constitute or replace: a building control application to the Building Safety Regulator (BSR) or a registered building control approver; a fire safety assessment under the Regulatory Reform (Fire Safety) Order 2005; an access audit under the Equality Act 2010; or any other statutory regulatory determination. Users operating under the Building Safety Act regime (higher-risk buildings at 18 metres or 7 storeys and above) must use the BSR or a registered building control approver for formal assessment. LumenWeave's pre-check is a design-stage risk indicator, not a substitute for professional building control services.
11. Acceptable use
You agree not to:
- Use LumenWeave to collect documents for any illegal purpose.
- Upload personal data beyond what is necessary for compliance (for example, do not use flows to collect health records or unnecessary identity documents).
- Attempt to automate access to the platform via scraping, reverse engineer the service, or interfere with its operation.
- Exceed fair use of shared resources (AI document analysis, email, SMS). Fair use limits are applied to prevent abuse; if you need higher volumes, talk to us about a plan that supports them.
- Send messages that contravene applicable anti-spam or consumer protection laws in the recipient's jurisdiction.
- Create multiple accounts or organisations to circumvent usage limits, trial periods, free entitlements, add-on restrictions, or any other per-organisation limits. This includes registering with different email addresses to obtain additional free compliance checks or trial periods for the same business.
12. Service availability
We target 99.9% uptime and run scheduled maintenance with advance notice where practical. We do not guarantee uninterrupted access, but we will communicate significant outages and provide service credits for extended unplanned downtime on paid plans at our discretion.
13. Limitation of liability
To the maximum extent permitted by law, LumenWeave's total liability to you for any claims arising out of or related to the service is capped at the total fees you paid to LumenWeave in the twelve months preceding the claim. LumenWeave is not liable for indirect, incidental, consequential, or punitive damages, or for loss of profits, revenue, data, or business opportunities. Nothing in these terms limits liability for death, personal injury, fraud, or any liability that cannot be excluded under applicable law.
14. Termination
Either party may terminate paid access with 30 days' notice. LumenWeave may suspend or terminate your account immediately if you breach these terms materially, fail to pay for more than 30 days, or use the service in a way that exposes LumenWeave or other customers to legal risk. On termination, you may export your data for up to 30 days. After that, data is deleted per the schedule in our Privacy Policy and DPA.
15. Changes to these terms
We may update these terms. Material changes are notified by email to the admin of each paying account at least 30 days before the changes take effect. Continued use of the service after the effective date constitutes acceptance. If you disagree with a change, you may cancel before the effective date for a pro-rata refund of any prepaid period.
16. International customers
The service is available globally. Prices are quoted in GBP, and VAT or equivalent local taxes are added where applicable. You are responsible for compliance with your own local laws regarding the documents you collect, the contacts you message, and the jurisdictions you operate in through the platform. LumenWeave's obligations as a data processor are governed by our Data Processing Agreement regardless of where you are located. 17. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any disputes arising out of these terms.
If you are located in a jurisdiction with mandatory consumer protection or data protection laws that cannot be overridden by contract, nothing in these terms limits your rights under those laws.
